Dynamically linking data between Okappy and Microsoft Power BI

Certain version of Microsoft Power BI can now integrate with Okappy and pull in your information automatically where it can then be manipulated and shared amongst your team.

Read on to find out how to connect Microsoft Power BI with Okappy.

1) First check you have a compatible version of Microsoft Power BI

In order to automatically import data into Microsoft Power BI, you will need to download the Power BI desktop application which is available for Windows computers.

2) Generate your report data formula within Okappy

From within Okappy, generate an Microsoft Excel URL by

  • Clicking Reports
  • Selecting the relevant report
  • Choose your options and click Generate Report
  • Once the report has been created, click the Microsoft Excel Icon ( Microsoft Excel Icon )

  • Click the Copy formula button
  • The formula will be copied

3) Link Microsoft Power BI spreadsheet to Okappy

From within Microsoft Power BI Desktop,

  • Click Get Data in the toolbar
  • Choose Other and then Web

Import data into Microsoft Power BI

  • Right click on the URL field and paste the URL you copied from Okappy into the URL field

Connect Okappy to Microsoft Power BI

  • Note: If there is nothing to paste, go back to Okappy and repeat the steps to generate your report data formula
  • The report will be created in the Power Query Editor
  • Right click on the new report and then select csv

Select Power BI File Type

  • The data will be shown in the Power query editor

  • From there you can tidy up the data by for example removing the top description rows

  • Once your data is in the correct format, you can start creating reports and dashboards.

  • You can also set how often Microsoft Power BI pulls in the data from within the data properties.

Notes:

  • Do not set the refresh period to often as this could slow down the performance on your account.
  • Okappy reserves the right to limit the number of requests if required.
